Ministry of Public Health, Social Development and Labor (VSA), Department of Public Health The Department of Public Health (DPH) is seeking goal-oriented, experienced and dedicated professionals to serve in the following function. The Department of Public Health is seeking to fill this critical position to successfully execute the various projects aimed at improving the health and wellness of our residents. Who are we? The Department of Public Health is responsible for policy and legislative formulation in line with international conventions and in collaboration with local, regional and international health organizations. The Department supports several platforms that enhance the health sector, coordinates the safety and accessibility of public health services during disasters, and maintains a strong network with healthcare providers and stakeholders. Our priorities are to prevent unhealthy living conditions and promote the overall health of society. What can you expect? As Executive Secretary / Administrative Support Assistant, you will play an important role in ensuring the smooth and efficient functioning of the Department. You will provide administrative and organizational support to the Department Head, policy officers and other members of the team. The position requires a proactive and service-oriented professional who can manage multiple priorities, maintain confidentiality, communicate effectively with internal and external stakeholders, and ensure that administrative processes are handled accurately and efficiently. Main tasks and responsibilities - Provide comprehensive secretarial and administrative support to the Department Head and staff. - Manage calendars, appointments, meetings and schedules. - Receive, register, distribute and follow up on incoming and outgoing correspondence. - Organize and coordinate meetings, including preparing agendas, invitations, attendance lists, meeting materials and minutes. - Maintain accurate and organized electronic and physical filing systems and departmental records. - Monitor deadlines, action points and follow-up items arising from meetings and correspondence. - Receive and respond to telephone calls, emails and general inquiries in a professional and timely manner. - Assist with the preparation and coordination of departmental events, workshops, presentations and other activities. - Maintain confidentiality when handling sensitive departmental, personnel and public health information. - Support the Department in ensuring compliance with established administrative procedures and government policies. - Perform other administrative duties as assigned by the Department Head. Minimum qualifications and core competencies - Associate degree or diploma in Office Administration, Business Administration, Public Administration, Secretarial Studies, Management or a related field. - Relevant administrative or secretarial experience, preferably within a government, public-sector, healthcare, policy or professional environment. - Good verbal and written communication skills. - Good organizational, coordination and time-management skills. - Proficiency in Microsoft Office applications and electronic document management systems. - Strong attention to detail and the ability to maintain accurate records and documentation. - Ability to coordinate meetings, consultations, workshops and other activities involving multiple stakeholders. - Ability to manage multiple assignments, prioritize competing demands and meet deadlines. - Ability to work independently and effectively as part of a small team. - Initiative, reliability, discretion and confidentiality when handling sensitive information. Compensation Salary ranges from a minimum of Cg 2,578.00 to a maximum of Cg 4,967.00 per month, depending on experience and qualifications.
