About the opportunity
The Division of Labor Affairs & Social Services is seeking an organized, personable and detail-oriented Administrative Officer to join its Social Services Unit, to serve primarily in a Front Office / Receptionist capacity and as Back Office administrative support. Both positions work in close coordination to ensure the Division delivers professional, efficient and welcoming service to the public.
Administrative Officer, Front Office (Receptionist)
The Receptionist is the face of the Division and the first point of contact for every client, whether in person or by telephone. This role directly reflects the quality and reputation of the entire department.
Core duties
- Welcome and direct visitors, clients and members of the public in a professional and courteous manner.
- Manage the reception desk, including incoming telephone calls, emails and general correspondence.
- Schedule and coordinate appointments and meetings for Division staff.
- Maintain the visitor log and issue visitor passes in accordance with security protocols.
- Receive, sort and distribute incoming mail and documents.
- Provide accurate information to the public regarding the Division's services and direct queries appropriately.
- Maintain a tidy and organized reception area at all times.
- Provide general administrative and clerical support to management and operational teams.
- Draft, format and file official correspondence, memoranda, reports and other documents.
- Maintain and update electronic and physical filing systems per the Division's records policy.
- Support procurement processes: preparing purchase requests, tracking orders, maintaining inventories.
- Perform data entry and maintain databases, spreadsheets and internal management systems.
- Assist in preparing meeting agendas, minutes and follow-up action registers.
- Liaise with other government departments and external stakeholders as required.
- Organize clients into two lines: (1) collecting letters, cards and documents, and (2) forms, questions and general information.
- Transition to back-office duties once appointments begin at 10:00 am, on rotation.
Minimum qualifications and requirements
- Education: High School / CXC / CAPE / HAVO or equivalent in Business Administration, Office Management or a related field.
- Experience: minimum two (2) years of relevant administrative or receptionist experience, preferably in government or public service.
- Computer skills: proficiency in the Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); familiarity with CRM systems is an advantage.
- Language: fluency in English (written and spoken) required; knowledge of Dutch, Spanish or French is an advantage.
- Personal skills: strong interpersonal and communication skills, professional demeanor, organized, discretion in handling confidential information.

Compensation
Salary range: minimum Cg 2,294.00 to maximum Cg 4,345.00 per month. Salary based on experience and qualifications, within the established salary range, plus a benefits package that includes vacation, pension and medical coverage.
